HOW DO WE COLLECT YOUR INFORMATION?

We may collect personal information when you:

  • make a booking through our website;

  • submit an enquiry through our website;

  • contact us by email, telephone, WhatsApp, Facebook or other social media;

  • make a booking through a third-party booking platform such as Airbnb or Booking.com;

  • provide information in connection with an existing booking;

  • make a payment or provide information relating to a payment; or

  • otherwise communicate with us regarding a stay at one of our properties.

Our website may also collect technical information when you visit it, including information about your device, browser, IP address and how you use the website. Cookies and similar technologies may be used for this purpose.

WHAT INFORMATION DO WE COLLECT?

Depending on the nature of your enquiry or booking, we may collect:

  • your name;

  • postal address;

  • email address;

  • telephone number;

  • booking dates;

  • property booked;

  • number of guests;

  • names or other details of members of your party where required;

  • information about children, pets or other requirements relevant to your stay;

  • payment and transaction information;

  • correspondence between you and us;

  • information necessary to comply with legal or regulatory requirements; and

  • any other information you choose to provide in connection with your enquiry or booking.

We aim to collect only the information reasonably necessary to manage your enquiry, booking and stay.

Guest information and statutory visitor records

As a registered tourist accommodation provider in Northern Ireland, we are required to maintain certain records relating to guests staying at our properties.

For this purpose, we may collect information about the lead guest and other members of the party, including:

  • full name;

  • permanent address;

  • nationality;

  • dates of arrival and departure; and

  • any other information we are legally required to record.

This information is collected and retained where necessary to comply with our legal obligations as a tourist accommodation provider in Northern Ireland.​ 

HOW DO WE USE YOUR INFORMATION?

We may use your personal information to:

  • respond to enquiries;

  • process and manage bookings;

  • communicate with you before, during and after your stay;

  • provide booking confirmations, payment information, arrival instructions and other information relating to your stay;

  • process and record payments;

  • manage cancellations, amendments and refunds;

  • maintain our business and accounting records;

  • meet legal, tax, regulatory and insurance requirements;

  • manage and protect our properties and business;

  • deal with complaints or disputes; and

  • improve our website and services.

We only process personal information where we have a lawful basis to do so. This will normally be because processing is necessary to deal with your enquiry or perform our contract with you, because we have a legal obligation, or because we have a legitimate business interest in operating and protecting our holiday accommodation business.

SMOOBU

We use Smoobu GmbH as our property management and booking system.

When you make a direct booking through the booking facility on our website, personal information you provide may be processed through Smoobu. We also use Smoobu to manage reservations, availability, guest information and communications relating to bookings.

Information processed through Smoobu may include your name, contact details, booking dates, property booked, number of guests, booking value, payment status and other information you provide in connection with your reservation.

Smoobu processes this information on our behalf for the purposes of providing its booking and property-management services.

THIRD-PARTY BOOKING PLATFORMS

If you make a booking through a third-party platform such as Airbnb or Booking.com, that platform will process your personal information in accordance with its own privacy policy.

Information necessary to manage your reservation may subsequently be transferred to or processed through our property-management system, Smoobu.

We recommend reviewing the privacy policy of the booking platform you use.

 

PAYMENTS

Many of our guests choose to pay by bank transfer.

Where payment is made by bank transfer, we will receive the information normally associated with the transaction, such as the payer's name, payment reference, amount and date of payment.

Where you choose to pay by card using a SumUp payment link, your card payment is processed by SumUp in accordance with its own privacy and security arrangements.

Luxury Portrush Holiday Homes does not receive or retain your complete card details when a payment is processed by an external card-payment provider.

WEBSITE

Our website is hosted using Wix.

Wix may process technical and other information associated with your use of our website in order to provide website hosting, security, analytics and related services.

SHARING YOUR INFORMATION

We do not sell your personal information.

We may share or allow access to personal information where reasonably necessary to operate our business, including with service providers that help us provide our website, booking, payment and related services.

These may include:

  • Smoobu, for booking and property management;

  • Wix, for website hosting and related services;

  • SumUp or other payment providers where you choose to use their services;

  • Airbnb, Booking.com or another booking platform where your booking originates through that platform;

  • professional advisers, insurers or contractors where reasonably necessary; and

  • government, regulatory, law-enforcement or other authorities where disclosure is required by law.

We only share information that is reasonably necessary for the relevant purpose.

HOW LONG DO WE KEEP YOUR INFORMATION?

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet our legal, tax, accounting and regulatory obligations.

Certain booking and financial records may therefore need to be retained for several years after your stay.

Information that is no longer required will be deleted or securely disposed of where appropriate.

SECURITY

We take reasonable measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Where we use third-party services to process information on our behalf, we expect those providers to maintain appropriate technical and organisational measures to protect personal information.

YOUR DATA PROTECTION RIGHTS

Depending on the circumstances, you may have the right to:

  • request access to personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • ask us to delete your personal information in certain circumstances;

  • ask us to restrict the way we process your information;

  • object to certain types of processing;

  • request transfer of certain information; and

  • withdraw consent where we rely on consent as the basis for processing.

These rights are subject to certain legal exceptions, including circumstances where we are required to retain information for legal, tax or accounting purposes.
